Description

The CarbonCRM Cold Prospecting board acts as the wide mouth of CarbonCRM, intended for first-time outreach. This board is structured on a three-touch approach, meaning you make three attempts to contact someone with unknown interest within a given period.

(This is often done with three different methods and is known as the “triple touch” in sales.)

With the variety of integrations and marketplace apps on monday.com, crafting effective outbound outreach sequences becomes easier to set up, track, and manage.

Item Instance:

This is an individual Prospect. An individual person you wish to convert to a Warm Lead.

Item Initiation:

Manual entry, csv import, or API (see Additional Resources) 

Item Grouping:

Items on this board (Prospects) are grouped by their Outreach Status.

Board Goal/Objective:

To change a Prospect’s Outreach Status to a “New Lead”, converting them to the Warm Leads Board.

Communication:

By default there’s no communication extensions at this stage. (See additional resources for how to add your own)

How to use

1.) In the Cold Prospecting board create or import prospects (items).

2.) Select a batch of prospects that are ready for outreach.

3.) Change the Outreach Status to “First Outreach” and begin contacting these prospects in whichever method works best for you.

4.) During your outreach sequence, report back how the outreach went and note any specific prospects that showed interest.

  • At any point, you can change the prospect’s outreach status to “New Lead” and this will convert the prospect item into a new lead within the Warm Leads board.
  • At any point, you can change a prospect’s outreach status to “DNC” or “Archive” or “Nurtured” to avoid contacting that prospect in the next outreach.

5.) Repeat steps 2-4 process through all three outreaches until the prospects positively or negatively engage.

Recommended Customizations

Add/remove/modify outreach groups:

You can customize and organize your groups however you’d like. Each group can have a specific method of communication, such as email, phone, SMS, social media, etc.

Each group can have a different form of integrated communication. You can also create canned outreach templates if you add Emails and Activities to this board.

For additional outreach management, you can create a ‘Last Action’ status column to see at a board level view the last form of contact for a particular prospect.

Use "First" and "Last" name columns:

Within the CarbonCRM Tool Belt use our Column Merge integration to allow reps to enter ‘first’ and ‘last’ names in separate columns, combining them to create the actual item name.

Create an intake form:

1.) Create a new board view -> Form

2.) Adjust form questions once all columns are finalized on the main table.

  • Take advantage of the previously mentioned Column Merge Integration to intake First and Last names on your forms, and create Items with them.

3.) Share the form via direct URL, embed, or QR code. Now cold prospects will be able to create themselves!

4.) Keep in mind that since these are cold prospects, the form should be very basic in nature, and you may want only to require a limited number of fields (even if you have multiple.)

  • Depending on the industry, an email will generally be the best first method for cold prospects, as requiring a phone number could give the wrong first impression.
